We're happy to announce the release of new features and plans in Zakya. With this update, users will now be able to customize Zakya to their needs and automate important business functions to save time and ensure compliance in each step of a process. Here's a brief overview of how the new features can help you.
You have done all the hard work to set up your business; half of your time should not go in front of a computer. With automation in Zakya, you can now set up workflows to configure email alerts, automate field updates, execute custom functions, set up webhooks, and manage your business more easily.
Workflow rules are like assigning a specific employee to execute a task automatically when a select condition is met. You predefine the condition, and you tell the employee, "If this condition is met or if this event occurs, then do this."
For example, let's say you only have an online store and deliver orders directly from the warehouse to the customer. Whenever a sales order is created, you want to notify your warehouse staff to pick items for fulfillment. You can set up an email notification that alerts the staff when an order is placed.
If this condition is met (event): When a sales order is created.
Then do this (action): Send an email notifying the staff to pick up the items in the order for packing and shipping.
Send emails automatically when a particular condition is met, notifying the recipient of what has happened. Ensure timely communication by informing the right people and keeping them informed without having to log in to the system.
For example:
If this condition is met (event): A salesperson edits the invoice of a particular customer
Then do this (action): Send "New invoice edited" email to the Admin.
This promotes internal transparency, improves accountability, and helps prevent unauthorized edits.
Save time and the manual effort of updating a field in a particular module when a condition is met. Field updates are like smart auto-fills in browsers that automatically populate a given field with the required data based on the criteria.
For example:
If this condition is met (event): Invoice value is above Rs. 25,000.
Then update (action): Salesperson field set to Senior salesperson.
This ensures that the right member is assigned specific or high-value transactions so the customer has a hassle-free experience.
You can extend the scope of automation in Zakya by writing custom logic tailored to your business's needs. Let's say you want to automatically apply a penalty fee for overdue payments after a certain number of days. You can do that with custom functions.
If this condition is met (event): Invoice date exceeds 30 days of the due date.
Then do this (action): Apply a 5% penalty fee for late payment.
A webhook is like a messenger that passes data automatically from Zakya to a third-party application. The data is passed automatically when a specific condition is met, so you do not have to manually check every time.
For example, let's say you have an online store on a third-party application that does not directly integrate with Zakya. With the help of webhooks in Zakya, you could automatically update the inventory value of items based on sales that happen in-store and via other channels.
If this condition is met (event): Whenever a sale happens in-store.
Then do this (action): Deduct the corresponding inventory value of the item in the third-party online store.
This ensures you have accurate inventory across all your sales channels and display the right inventory count to your customers
Schedules are like alarm clocks that execute the mentioned task at the specified time.
Let's say you want to send out emails to customers regarding unpaid invoices at the start of every month. You can schedule such emails in a way that the system automatically filters out accounts with unpaid invoices at the start of every month and sends invoices to save time and effort.
If this condition is met (event): There are pending invoices after checking for unpaid invoices on the second day of every month at 9 AM.
Then do this (action): Send out an automated email to customers notifying them about payment.
Personalize Zakya by adding custom buttons and modules that execute specific tasks for you. You can pull up information from other third-party tools into Zakya and view all details in one place.
Custom buttons help you carry out an intended task with just a click. This is like having that Netflix button on your SmartTV remote, instead of having to sift through the menu and navigate to the required app, just clicking the button takes you to the app saving time.
Let’s say you sell corporate gifts and souvenirs. You can create a custom button titled "Send Item Catalog." Whenever a customer asks to see the products you offer, you simply click this button, and it automatically sends an email containing your complete product catalog to the customer.
You can add and view relevant or supporting information for a main record across all your tools in one place within Zakya instead of a user searching for them separately. This helps you view all information centrally and make decisions faster.
For example, let's say you own a library. The book title, author, and publisher details are your main record for each. A related list is a mini database of all other relevant information like borrower details, extension dates, late fees paid, and more.
In the retail context, if you have a third-party app to view customer survey responses, you can map these details against the corresponding customer records in Zakya in a new module called Related List and view those details there.
Pass data and notifications from third-party applications to Zakya and keep your POS updated with the latest information from across apps in one place.
Let's say you own an apparel store and use Zakya for in-store sales and a different tool for ecommerce. Whenever an order is placed through your ecommerce app, the app can instantly pass this info through incoming webhooks to Zakya, and the same info can be viewed in Zakya, and the order can be packed and shipped to the customer.
Apart from the default modules available in Zakya, such as Sales, Customers, Inventory, and the like, you can now create a new module and store relevant data in it according to your requirements.
Imagine you run a salon and wish to collect customer preferences such as their preferred hair cuts, hair treatments, and stylists. You can create a custom module to store and access such data and map these against customer invoices so it's easier for you to pull up that data and give a more tailored experience to every customer.
