Actions that can be performed on Items

Manage and customize item properties, quantities, and views efficiently with the Items module, including options to clone, edit, mark as inactive, group, adjust stock, sort records, and export data.

Edit

In the Items module, you can select an item and click the Edit button to make changes.

Clone

The Clone option lets you duplicate the item that is available in the Items module. For example, there are two variants of a pair of pants, one with size 32 and another with size 36. Instead of creating another item from scratch for size 36, you can simply clone the item with size 32 and make the appropriate changes.

To clone an item

  • Go to the Items module and select an item.
  • Click More > Clone Item.
  • Modify the item information and click Save.

Mark as Inactive

An item can be marked as inactive when it is temporarily unavailable and you don't want it to be billed by the cashier at the POS.

To mark an item as inactive

  • Go to the Items module and select an item.
  • Click More> Mark as Inactive.

    You can do the same to mark an item as Active.

    Alternatively, you can select multiple items and click Bulk Actions > Mark as Active/Inactive.
  • Modify the item information and click Save.

Add an item to group

Various variants of an item can be clubbed together as Item Groups. For example, a formal shirt comes in different colors and sizes such as Red, Blue, Yellow in Small (S), Medium (M), and Large (L) sizes. They can be added as individual items in the Items module. Since it is a single product with differences in color and size, it can be grouped as one in the Item groups module. You can either create a new group or add it to an existing group.

To add an item to a group

  • Select an item from the Items module.
  • Click More > Add to Group.
  • To create a new Item group, do the following:
    • Select Create a New Item Group.
    • Enter the Item Group Name and select the Unit from the drop-down list.
    • Select Create Attributes and Options to add the item properties.
    • Specify the SKU value if required and click Save.
  • To add an item to an existing item group, do the following:
    • Choose the Item Group Name from the drop-down list.
    • Specify the SKU value if required and click Save.

Mark as returnable

A returnable item is one which the customer can return after purchasing.

To mark an item as returnable

  • Select an item from the Items module.
  • Click More > Mark as Returnable.

    Alternatively, you can select multiple items and click Bulk Actions > Mark as Returnable.

Adjust Stock

The quantity of the stock or the value (price) of a product can be modified for various reasons.

For example:

  • Expired, stolen, or damaged items can be removed from stock.
  • Stocktaking, which is when you manually count the number of items available. If there is a mismatch, the stock can be increased or decreased accordingly.

To adjust stock

  • Select an item from the Items module.
  • Click Adjust Stock.
  • To adjust Quantity, do the following:
    • Select Quality Adjustment.
    • Specify the Date, Account, and Reference Number.
      You can see the number of items available in the Quality Available field.
    • Enter the New Quantity on Hand.
      The Quantity Adjusted will be calculated automatically.
    • Specify a Reason from the drop-down list.

      You can click Manage Reasons to add new reasons to the drop-down list. You can also mark a reason as inactive or delete it.
  • To adjust the Value, do the following:
    • Select Value Adjustment.
    • Specify the Date, Account, and Reference Number.
      You can see the Current Value of the item.
    • Enter the Changed Value.
      The Adjusted Value will be calculated automatically.
    • Specify a Reason from the drop-down list.
  • Click Save as Draft to come back and make changes later.
  • Click Convert to Adjusted to adjust the stock immediately.

Views and Filter

In List View, the records can be filtered based on certain common parameters such as active, inactive items, inventory and non-inventory items, etc. You can switch between various default filters or create a new on based on your requirements.

To create a custom view

  • In the Items module, click the Views drop-down list.
  • Click + New Custom View.
  • Enter the Name and specify the criteria.
    For example, when stock in hand is less than 100.
  • Click + Add Criteria to add more criteria.
  • Hover over the fields in the Available Column and click the Add icon to view them in the List View.
  • Specify who can access this view in the Share this with section.
  • Click Save.

Sort Records

The records can be sorted based on specific fields, such as:

  • SKU
  • Rate
  • Stock on Hand
  • HSN/SAC and
  • Last modified time

To sort records, click the More icon in the Module list view and select the appropriate field.

Export Data

All the Items present in the Items module can be exported in a .CSV, .XLS, or .XLSX format. You can also choose to export the items that are added during a time period. The export file consists of all the field values in the respective columns.
