Warehouse: An overview

Zakya's multi-warehouse feature enables businesses to manage stock across multiple locations efficiently. Each warehouse, assigned to a specific branch, facilitates seamless product transfers, dispatch, and receipt of stock. With centralized control and real-time data synchronization, businesses can optimize inventory management and streamline supply chains.

A warehouse is a typical stock storage unit of a business. For any business, having a storage space that is data backed, accurate, and functioning is crucial. It will ensure that ongoing sales as well as forthcoming ones occur smoothly. With the multi-warehouse feature in Zakya, you can have multiple warehouses each assigned to a separate branch, perform product transfers, and dispatch and receive stock.

With the multi-warehouses in Zakya, you can perform product transfers between the different warehouses.

How an apparel store can use Warehouses in Zakya

Zylker Clothing and Footwear is an apparel company trying to expand their brand and set up physical stores across the state. Expanding business involves inventory management, purchase records, maintaining uniformity across their branches, and proper flow of supply chain management. This is where Warehouses in Zakya come into the picture.

Installing Zakya POS and implementing the warehouse feature, will allow Zylker Clothing to set up inventory management where stock and item management, and flow is completely controlled. Apart from this, they can perform multi-store management, where, with a centralized system, one can monitor the business analytics in the dashboard and in the reports, perform real-time data sync, and get their hands on integrated insights.

Upon enabling Warehouses in Zakya, Zylker Clothing can set up branch-specific offers, place orders based on the stock inventory with a centralized warehouse, identify item flow, and handle integrated accounting data which will result in an efficient and quick flow of business.

How a pharmacy can use Warehouses in Zakya

Consider another example, Zylker Pharmacy, a pharma business planning to expand to multiple branches across the state. At present, Zylker Pharmacy has a uni-point business but in branching out, they will have to set up a centralized multi-port access, inventory and warehouse management, stock maintenance, and report management.

Installing Zakya POS and implementing Warehouse will instantly provide Zylker Pharmacy with a multi-access centralized platform with one primary warehouse and a primary branch. The user with have full access to the platform and other branches will have restricted access to maintain privacy. Through the primary branch and warehouse, they can monitor stock flow and maintain a functioning supply chain. This will help them never run out of stock as they can monitor it consistently through this feature.

Enabling Multiple Warehouses in Zakya

To enable multi-warehouse

  • Open the Zakya POS website application.
  • Go to Settings > Locations.
  • Click the Warehouse tab.
  • Click Enable Multi-warehouses to start adding more warehouses.

Upon enabling Multiwarehouse, the default one becomes the Head Office and is also the primary warehouse, unless selected otherwise. When the warehouse is enabled without enabling branches, the stock will be fetched from the primary warehouse of the organization.

If both branches and warehouses are enabled, the stock will be fetched from the primary stock location of the branch.

To add a new warehouse

  • Open the Zakya POS website application.
  • Go to Settings > Locations.
  • Click the Warehouse tab.
  • Click Add Warehouse in the top-right corner.
  • Enter the warehouse name and select the Associated Branch from the dropdown menu.
  • Enter the details and click Add Warehouse to add the new warehouse.

To edit a warehouse

  • Open the Zakya POS website application.
  • Go to Settings > Locations.
  • Click the Warehouse tab.
  • Click Add Warehouse in the top-right corner.
  • Click on the Edit tab next to the preferred warehouse and make the necessary edits.
  • Once done, click Update Warehouse.

Warehouse and its status

A primary warehouse has the data for all the stock available that can be utilized by the branch. Whenever there is any transaction made, this item order will reflect that change. The default warehouse will be assigned as the primary warehouse if the user doesn't assign one.

To assign a primary warehouse

  • Open the Zakya POS website application.
  • Go to Settings > Locations.
  • Click the Warehouse tab.
  • Click on the Settings icon next to the respective warehouse.
  • Select Mark as Primary. The selected warehouse will be marked as the primary warehouse and will be denoted with a yellow star.

Notes

  • It is suggested to map the primary branch to the primary warehouse and maintain this as the primary stock location for the branch.

Inactivate or activate a warehouse

A warehouse can be marked inactive when it is temporarily not in use. However, when a warehouse is inactive, all its stock will be frozen and no transactions can be performed. Likewise, a warehouse can only be deleted when there are no transactions associated with it. If a warehouse has been used to perform transactions, it can only be marked as inactive. On inactivating a warehouse, the stock items present in the warehouse can't be used, so creating a transfer order before inactivating the warehouse is crucial.

To inactivate a warehouse

  • Open the Zakya POS website application.
  • Go to Settings > Locations.
  • Click the Warehouse tab.
  • Click on the Settings icon next to the respective warehouse.
  • Select Mark as Inactive. The selected warehouse will be marked inactive.

To activate a warehouse

  • Open the Zakya POS website application.
  • Go to Settings > Locations.
  • Click the Warehouse tab.
  • Click on the Settings icon next to the respective warehouse.
  • Click Mark as Active. The selected warehouse will now be available for performing transactions.

Notes

  • The primary warehouse cannot be inactive. For it to be inactive, assign another warehouse as the primary one and then inactivate the former using the steps mentioned above.

To delete a warehouse

  • Open the Zakya POS website application.
  • Go to Settings > Locations.
  • Click the Warehouse tab.
  • Click on the Settings icon next to the respective warehouse.
  • Click Delete.

Notes

  • A warehouse with transactions cannot be deleted; it can only be marked as inactive.
