A retail business operates by selling various items (products) to its customers. These items can have multiple variants, which can be grouped under Item Groups.
For example, say you sell a t-shirt that comes in different colors and sizes. Since these are the multiple variants of an item, they can be added in the Item Groups module. So when you open the item called t-shirt, all the variants will be displayed. You can then add the appropriate prices for the variants.
Item groups can be created in Zakya POS in two ways:
- Manually creating item groups.
- Importing item groups
Manually creating item groups
Multiple variants of an item can be manually grouped together in the Item Groups module in Zakya.
The multiple items in a group can be created by defining the Attributes and Options.
- Attributes: An item can be differentiated based on various parameters such as size, color, type, etc. These are called the attributes of an item and can be defined while creating an item group.
- Options: The attributes will have multiple options that can be specified here.
For example, in a lifestyle retail store, the t-shirts comes in multiple colors. There are also different sizes to choose from, plus the t-shirt comes in various types of material. These are variants of the t-shirt and can be added as an item group.
To create item groups:
- Go to Business > Inventory > Item Groups.
- Click + New.
- Enter the Item Group Name and Description.
- Select the Returnable Item checkbox to enable sales returns by customers.
- Select the Measurement Unit of the item from the drop-down list.
- Select a Manufacturer from the drop-down list.
- To create a new manufacturer, do the following:
- Click Manage Manufacturers.
- Click + New Manufacturer.
- Enter the Manufacturer Name and click Save and Select.
You can also Edit or Delete existing manufacturers from the drop-down list.
- Click Manage Manufacturers.
- Select a Brand from the drop-down list.
- To create a new brand, do the following:
- Click Manage Brands.
- Click + New Brand.
- Enter the Brand Name and click Save and Select.
You can also Edit or Delete existing brands from the drop-down list.
- Click Manage Brands.
- Select a Category from the drop down list.
- Specify if the items are Taxable or Non-Taxable.
If the items are Non-Taxable, choose the Exemption Reason from the drop-down list. - Choose an Attribute from the drop-down list or enter a new attribute.
- Enter the Options separated by comma. Click + Add more attributes to add more attributes and options.
A table will be displayed with all the variants.
- The Item Name will be automatically populated. You can modify the name if required.
- Specify the SKU, Cost Price, Selling Price, UPC, HSN, ISBN code, and the Reorder Point.
- Click Copy to all to populate the values that you have entered to all the items in the item group.
- Click Save.
Generate SKU Value
An item group might consist of numerous items. In such a case, specifying a SKU for individual items in the item group will be difficult and time-consuming. To avoid that, the Generate SKU option lets you configure a unique SKU value for all the items in the item group.
The SKU value can be a combination of item group name; attributes such as color, size, etc.; and custom text. These attributes can be separated by a hyphen(-) or slash(/). For example: Shoe - Bla - US-44
To generate a SKU value:
- Click Generate SKU below the SKU field in the table.
- Select Hyphen(-) or Slash(/) in the Separated By field.
- Select Upper Case or Lower Case in the Case Used field.
- Select the attributes from the drop-down list. These form the SKU pattern.
You can select Item Group Name, Color, Size, or enter Custom Text. - Select the number of letters that you would like to display in the SKU. You can choose the first few letters or the last few letters.
- Click the + Icon to add more attributes.
- Click Generate SKU.
